What we collect, who can see it, and how to have it removed.
In short:
If you express interest, we collect your name, email address, phone number if you give one, and anything you write in the message box.
If you apply for membership, we collect considerably more, because the membership process asks for it: your date of birth, home address, occupation and employer, education, your reference’s name, email and relationship to you, your written answers including the “Who Am I” sections and the Letter to a 13-Year-Old Self, a headshot, and your consent to a background check.
If you become a member, we also keep what you tell us about committees, mentoring programs, dues status, shirt size, emergency contact, and anything you add to your own profile.
Not everyone in the chapter sees everything. The portal enforces this per field, not per page.
We do not sell your information, and we do not share it for advertising.
Member records are kept for as long as you are a member and afterwards as part of the chapter’s history. When an application is deleted by an administrator, both the pipeline entry and the full submitted application are cleared, and the applicant’s document folder is moved to trash.
The chapter has not yet set a fixed retention period for applications that do not proceed. Until it does, ask and we will remove yours.
Members can see and edit much of their own record at any time in the portal. For anything else — a copy of what we hold, a correction, or deletion — write to membership@100blackmenaustin.org and say what you want done. If you are removed from the chapter’s email list you stay removed. Every newsletter and outreach message carries an unsubscribe link that works without signing in; member notices link to your contact preferences, and transactional messages about your own application come without one.
The background check is run by Checkr with your written consent, which you give as part of the application. You are entitled to know if something in that report affects the decision on your membership, and to dispute anything in it that is inaccurate directly with Checkr.
